Stages on iPhone

Your customer journey on the Stages tab: who is at each step, how long they have been there, and what happens next.

Stages is the third tab. It shows your customer journey as the people at each step of it: the same seven lifecycle stages as Stages on the web, in the same order, with two facts the web board does not have: how long each person has been at their step, and what the flow does next for them.

The row

Across the top, every stage with its count, left to right in journey order: New lead, Intro never visited, No-show 1st class, 1 class no return, Intro expires in 5 days, Intro expired, and Member dormant 30 days. Each stage shows its name with the number of people beneath. Tap a stage to open it. Two fit across the screen with the next one peeking in from the right; swipe the row to reach the rest.

Stages are computed from your booking system every five minutes. Nobody is dragged between them; people move when their data does.

The stage

The selected stage is the title of the page. Beside it (or under it, for the longer names) a chip says whether the stage’s flow is running:

  • Flow running: the seeded playbook for this stage is on and every new arrival is enrolled.
  • Flow off · Turn on: the flow is off. Tap the chip to read the journey and hold Hold to turn on, the same approval as everywhere else in Helios. Turning a flow on is a manager’s action; employees see the chip without the control.

Under the title, one line carries the count and what the stage means (6 people · Bought an intro, no class yet).

The people

Each row is a person, sorted by how long they have been at this step. Anyone who has written back and not been answered is set in bold with Replied Wed · Open in Inbox under their name; they are the people waiting on a human rather than on the flow.

  • The clock on the right is days in the stage (12d, 3w), counted from the event the stage is about: joining, buying the intro, the last class. It turns amber and then red past each stage’s own threshold, which means the flow alone has not moved this person yet and a personal touch is worth it. On Intro expires in 5 days the clock counts down instead (3d left).
  • The next line says what happens next: Text goes out tomorrow, 9 AM, Email goes out Mon, Call task due today, Texted Tue, no reply yet (the ball is in their court), Replied Wed · Open in Inbox (the ball is in yours), Opted out of texts, or No follow-up scheduled. Open in Inbox is the only action in the row because a customer is already waiting on the team.

Tap Open in Inbox to land in that conversation, ready to answer. Tapping every other row opens the contact card.

Swipe a row left for Message and Call. Swipe right for Add task and Assign. Assign updates an existing conversation; if the contact has no conversation, nothing is created. Touch and hold for Add task, Assign, Message, Call, and Open contact.

The person

Tap a row and the contact card opens, the same one the Contacts tab shows: the booking-system Insights, the flows the person is in (with Remove from flow), notes, tasks, and the conversation. Tap back to return to the stage.

When the tab is empty

Stages follows your lifecycle lists, which Helios builds when a fitness booking system (Mindbody, Mariana Tek, or fitDEGREE) is connected. A gym without those lists sees No stages yet on the tab with a link here. Nightlife venues on Tablelist see the same.

Team members who are not managers see the row and every count; the people in each stage are visible to managers, so for everyone else the stage reads Ask a manager to see who is here. Manager access is set per inbox under Team on the web.

sendhelios://stages opens the tab and sendhelios://stages/{listId} opens a specific stage. See Widget and deep links.
