Mindbody

Sync Mindbody clients, visits, memberships, purchases, and class schedules into Helios.

The Mindbody integration imports your clients from Mindbody, keeps them updated in real time through webhooks, and reports conversions from Helios conversations.

Requirements

A valid, current Mindbody account
Your Mindbody Site ID (Studio ID)

Connect

Open Integrations → Mindbody → Install.
Enter your Site ID (Studio ID). The install page links to instructions for finding it.
Approve the connection using the Activation Link and Activation Code shown, then Continue.
Choose which locations sync to Helios. Only clients, bookings, and class sessions from the selected locations are imported.
Helios imports clients, the catalog, the class schedule, membership state, and attendance history, and creates the standard Mindbody segments and matching flows. Those are starter defaults you can edit: change the messages and rules, then turn each flow on. They stay inactive until you do.

What syncs

Clients: full import once a day, plus real-time updates through Mindbody webhooks as clients are created or changed. Client status, visit history, memberships, class packs, and contracts land as contact properties. ClassPass clients are flagged (ClassPass user) when Mindbody refers them that way, they book with a ClassPass pricing option, or they arrive with ClassPass’s placeholder phone.
Bookings: class and appointment bookings, plus their outcomes (attended, cancelled, late cancelled, no-show) as they happen. Class bookings and outcomes include the class name, instructor, start time, and location when that session is on the synced schedule.
Purchases and refunds: completed orders in real time, with an hourly reconciliation pass that catches anything a webhook missed.
Products: pricing options and contracts sync into the Helios catalog, so segment rules and landing pages can reference them by name.
Class schedule: upcoming classes (about the next 30 days) sync hourly into Helios, including instructor, location, and spot counts when Mindbody exposes them. Cancelled or removed sessions drop off the public schedule. Reserve on a landing page opens that studio’s Find a Class page in Mindbody, where the visitor picks the class and books. Helios does not host the booking itself.
Memberships and class packs: entitlement state (active membership, sessions remaining, intro offer window) refreshes continuously so segments stay current.

What it unlocks

Mindbody has a rich set of prebuilt segment templates covering intro offer conversion, class pack usage, and win-back moments.

Plus:

Customer event flow triggers and segment rules on bookings, attendance, cancellations, no-shows, and orders, including booking-lifecycle criteria like “booked but did not attend”.
Conversion tracking: purchases after a Helios message are attributed to the campaign.
Prospects & Members reports, including membership starts, cancellations, and active intro offers.

The Settings tab shows the connected Site ID, lets you choose which locations sync, lets you pin a contract as an annual membership when automatic classification is wrong, shows data freshness (last webhook and reconciliation runs), and lets you pause syncing or delete the integration.

Sync on demand

Catalog items and class schedules refresh automatically. To pull the latest right away (for example after adding a class in Mindbody), click Sync now at the top of the integration page. Fresh items usually appear within a couple of minutes; Integration history shows the sync as it runs. You can request another sync after 15 minutes.
