Ask Helios on iPhone
The Agent tab is your gym's Pulse feed, prepared actions to review, and the Ask Helios box.
Ask Helios on iPhone lives on the Pulse tab. The page opens on Opportunity, then the feed of what is happening at your gym, with the Ask box pinned at the bottom.
Nothing Helios prepares reaches a customer until you hold the seal. Holding is the approval, on a prepared blast, a playbook, a form, and a draft from chat alike.
Opportunity
The top of the page is prepared actions you swipe through: a playbook to turn on, a catch-up blast, a lead form to publish. A count such as 1 / 3 stays on screen so you always know where you are. Swipe sideways to the next card. The button on the card names what approving does (Turn it on and catch up, Publish the form) and opens the review.
X dismisses the update for everyone at the gym and rejects its prepared action. Undo stays on screen for a few seconds if you change your mind. Actions bigger than a reply or a task are a manager’s call, so employees will not see the X or the seal on those cards.
Scroll and the front card shrinks in place to its title plus the button. Tap the title to expand it again.
When nothing is waiting, Opportunity is gone. The feed and Ask Helios are the page.
Review
The review page names the Goal, shows who this is about (with See all opening the full list, each person carrying the line that explains why they are on this update), then the prepared work:
- Playbooks: the flow to turn on and a preview of how it works: the trigger, each wait, the texts as message bubbles, emails by subject, and the tasks it creates for your team, collapsed to the first and last steps with a count that expands. Some bundle a one-time catch-up blast for the people already waiting; the review frames them as Step 1 of 2 with the catch-up collapsed until the playbook is on. You can edit the blast’s text before sending, and merge tags like
{firstName|there}fill in per person. - Blasts and replies: the message, editable in place.
- Forms and pages: what they ask for or contain, published on approval. Publishing lands on a share panel: the live link, a QR code for print, the system share sheet, and a preview.
Holding the seal approves (Hold to turn on, Hold to send, Hold to publish), with a line above it saying exactly what the hold commits to. Reject drops the prepared action without sending; the back arrow leaves without deciding. If something fails, the review says so and holding again retries.
The feed
Under Opportunity is the feed, newest first and grouped by day: new leads who have not booked, intros that never visited, a class with open spots, and weekly recaps. Conversations waiting on a reply live in the briefing widget and the Inbox badge, not in the feed.
Each card is a compact overview with a topic badge and one action door: Ask about this enters the story in Ask Helios, and Draft this send starts a chat that drafts the card’s suggested text (it still waits for your approval). A card you have not opened yet shows a NEW mark where the date usually sits. Tap the card itself for the full picture: the numbers, the people (tap a person to open their contact, or See all for the whole list), and a suggested message when there is one. The feed closes with a small resting pulse line: the end of the updates, with Helios still watching.
From the detail you take the primary action (the review), or tap Ask Helios… to grow the chat with a question about the update already written.
One card manages your automated flows: when seeded playbooks are off with nobody currently waiting on them, an Automated flows card lists them together. Open it and each flow has its own card naming who it’s for. Tap a card and its journey opens day by day, starting with the first step and the last with the middle folded to a count; every message reads as it will send, alongside the tasks it files for your team. Tap a text to edit its words right there: chips under the editor insert the contact’s first name or your gym’s name at the cursor, More fields opens every field your contacts carry (including synced booking-system fields, searchable and grouped by where the data lives), and Template swaps in one of your saved templates. Fields fill in per person when the message sends. Then Hold to turn on approves the flow, the same hold as every other approval, or hold Turn on all at the bottom of the page. A flow that is live shows Running in green. Turning flows on and editing their messages is a manager’s call; employees see the journey without those controls.
Before the first updates land, the page says what it is doing: The pulse of your business, over the list of what Helios watches for (open spots in tonight’s classes, new leads that haven’t booked, intro offers about to run out, regulars drifting away, conversations waiting on a reply) with a slow scan moving down the list. Updates come from your booking system, so if none is connected the page says so plainly: Connect your booking system names Mariana Tek, Mindbody, and fitDEGREE, linked from Settings on the web, with the first updates landing the morning after. With no booking system connected there is nothing to discuss, so the Ask box and its topic doors stay off the page until one is live. While the page is quiet with a booking system connected, Ask Helios to doors (Track revenue, Engage members, Convert leads, Fill classes, Coach the team) sit just above the Ask box; tapping one opens Ask Helios about that job.
Ask Helios
The Ask box stays at the bottom while you scroll. Tap Ask Helios… to type. The bar grows into a full chat. If a feed card was on screen, its question sits at the top as Right now; otherwise the chat greets you by name, ready to discuss your business. Under either: Topics we can cover, the same five doors (Track revenue, Engage members, Convert leads, Fill classes, Coach the team). Tap X to return. The clock in the top corner of the open chat opens history. The waveform talks instead of types.
In the composer, type @ to attach a specific contact, segment, flow, or template to your question; the chip above the field shows what is attached, removable until you send. The microphone beside the field dictates your question instead of typing it (distinct from the waveform, which is a whole voice conversation).
While Helios works, the line under your question narrates what it is doing. Once the answer lands, Thought for Ns opens the full trail of steps and lookups, and a sources row under the answer lists the records it drew on: tap one to open it.
Ask Helios from a conversation, a contact, a call, or a voicemail opens a seeded chat with that record attached.
