Zenoti

Sync Zenoti guests, appointments, memberships, and packages into Helios, with lifecycle lists and follow-up flows built for spas and wellness centers.

The Zenoti integration imports guests from one Zenoti center, keeps their appointments, memberships, and packages current, and builds the lifecycle lists and follow-up flows a spa or wellness center needs.

Zenoti is in early access, so it does not appear under Find Apps yet. Ask the Helios team for the install link.

Requirements

  • A Zenoti organization API key. Create one in Zenoti under Configuration > Integrations > Apps with app type Organization.
  • One Zenoti center per Helios location. Each center can connect to only one location.

Connect

  1. Open the Zenoti install link from the Helios team, then Install.
  2. Paste your Organization API key and click Continue. Helios lists the centers the key can access.
  3. Pick the center that matches this location (search by name or code), then click Connect center.
  4. Helios imports your guests, then their full appointment, membership, and package history. When the history finishes, Helios creates the wellness lifecycle lists and their follow-up flows. The flows stay inactive until you turn them on.

What syncs

  • Guests: once a day. Name, email, US mobile number, birthday, gender, home center, the date they became a guest, and their marketing text and email preferences land on the contact. Guests with neither a US mobile number nor an email are skipped.
  • Appointments: today’s and tomorrow’s appointments refresh every two hours through the business day, and a daily pass covers the last 2 days and the next 14. Each booking, visit, cancellation, and no-show becomes a customer event with the service, add-ons, therapist, room, and price.
  • Memberships: plan, status, renewal or expiry date, price, and credits left, plus membership started and cancelled events.
  • Packages: package purchases, sessions left, and the next expiry date.
  • Visit history: visit count, first and last visit, next appointment, no-shows, cancellations, top service, preferred therapist, and lifetime spend, updated as appointments sync.

The first history import fills in the past without starting any flows. After that, only activity from the last 48 hours can start a flow, so a late sync never sends a stale message.

Marketing preferences come from the guest’s Zenoti profile. To change one, update it in Zenoti; Helios picks it up on the next daily guest sync.

Helios only reads from Zenoti. Appointment confirmations and reminders stay with Zenoti, and nothing in Helios changes a guest or booking there.

What it unlocks

Lifecycle lists and flows

Helios keeps these lists up to date from your Zenoti data. Most pair with a flow that is ready to edit and turn on.

Package Expiring Has package sessions left that expire within 30 days. Package Reminder
Left Without Rebooking Visited in the last 2 days and has nothing booked. Rebook Nudge
Visited, Not Opted In Visited in the last 30 days and has not opted in to marketing texts.

Plus:

  • Stages shows the wellness journey board, from new lead to lapsed guest.
  • Pulse surfaces wellness updates: first-time guests to welcome or convert, banked credits, memberships ending, expiring packages, and lapsed guests.
  • Customer event flow triggers and segment rules on appointments, memberships, and packages.

Settings

The Settings tab shows the connected center and its Zenoti center ID, lets you pause syncing, and lets you delete the integration. Deleting removes the connection; imported contacts are kept. Integration history shows each sync as it runs.
